1. Who we are
HF Trust UK is the working name of Hazrat Fatimatuzzuhura (RA) Trust U.K., a charity registered in England and Wales, registration number 1142324. If you have a question about this policy or about information we hold, please use the contact details in section 10.
2. Information we collect
We only collect information you type into one of our two forms. We do not buy personal information, and we do not collect it from other sources.
When you complete the donation form, we record:
- your name, email address, and where you provide them, your telephone number and address;
- the amount, currency and country you selected, and whether the gift is one-off or monthly;
- which appeal or donation type you chose, and the payment method you told us you would use;
- the payment reference we issued you, and the reference or transaction ID you enter back to us so we can match your gift to a payment;
- the date and time of the submission.
When you complete the contact form, we record:
- your first name and, if you give it, your last name;
- your email address, and your telephone number if you provide one;
- the subject, the type of enquiry you selected, and the message you write;
- the date and time of the message.
Technical information. When either form is submitted, our server also records the IP address the submission came from and the browser identification string your browser sends. These are kept with the record itself and are used to help us investigate misuse or abuse of the forms. They are not used to build a profile of you and are not used for marketing.
3. Payment information
This website does not take payments. There is never a card form here and PayPal is never used, and no payment provider is connected to it. When you use the donation form you are telling us that you intend to give, and how; you then make the payment yourself through your own bank or mobile wallet app, using the reference we show you.
Because of this, we never see or store your card details, your online banking credentials or your wallet PIN, and no such details are ever entered on this site. What we hold is the reference or transaction ID you type back to us, which lets a member of our team match your gift against the Trust's own bank or wallet statement.
4. How we use your information
- To identify and acknowledge your donation, and to reconcile it against the Trust's records.
- To issue you a receipt by email once a donation has been checked and approved.
- To reply to your message when you contact us.
- To keep proper financial and administrative records of the Trust's income.
- To protect the website and the forms from misuse.
We do not sell your information. We do not share it with advertisers, and we do not use it to send marketing you have not asked for.
5. Cookies
This website does not use advertising cookies, analytics cookies or third-party tracking of any kind. There is no tracking pixel and no analytics script on these pages.
The site sets one cookie: a standard session cookie, used to keep a form submission secure and to keep an administrator signed in to the private admin area. It contains no personal information, expires when you close your browser, cannot be read by scripts, and is only sent over a secure connection. Because it is necessary for the site to work, no consent banner is shown for it.
Some pages load fonts from Google Fonts so that text displays consistently. When a page loads, your browser requests those font files from Google's servers, which means your IP address is visible to Google as part of that request, in the same way it is for any file a browser fetches. No cookie is set by us for this.
6. Who can see your information
Donation and message records are visible to authorised members of the Trust's team through a private, password-protected admin area. Access requires an individual account, and different accounts have different levels of access, so that only those who need to see donor details can see them.
Our website and its database are hosted by a third-party hosting provider, and email we send you is delivered through that provider's mail service. That means your information is stored on, and passes through, systems they operate on our behalf.
We may also share information where we are required to do so by law, or where it is necessary to protect the Trust, for example in connection with the investigation of fraud.
7. How we protect your information
- The website is served over an encrypted HTTPS connection.
- Access to donor and message records requires an individual account and password, and every account action is recorded in an internal audit log.
- Passwords for those accounts are stored using one-way hashing and are never stored as readable text.
- Our forms are protected against automated and cross-site submission.
No website can promise perfect security, and we do not claim to. We aim to handle personal information carefully and in line with applicable data protection requirements.
8. How long we keep information
We keep donation records for as long as we need them for the Trust's financial, accounting and reporting obligations. We keep contact messages for as long as we need them to deal with your enquiry and to keep a record of what was asked and answered. Where a record is no longer needed for either purpose, our intention is to remove it.
We have not set a single fixed retention period for every type of record, and we would rather say so than publish a figure we do not apply.
9. Your rights
You can ask us what personal information we hold about you, ask us to correct it if it is wrong, and ask us to delete it where we are not required to keep it. You can also ask us to stop contacting you.
Please write to us using the details below and tell us what you would like. We may need to ask you a question or two to be confident we are speaking to the right person before we act on a request about someone's personal information.
